Offer 04 / Focused project

A helpful first response when your team is busy

Answer approved questions, collect the right details and hand over when human judgement is needed.

Plan my first response

Customers want a simple answer or a clear next step, even when your team is with someone else or away from the desk.

We set up an AI receptionist that answers common questions, collects details and routes the conversation to the right person, using information and permissions you approve.

A tangible result

Here’s what the work includes.

  • Choose an agreed chat or voice channel
  • Prepare an approved answer set and automated-assistant greeting
  • Build a bounded intake flow
  • Set business-hours and out-of-hours rules
  • Provide a booking link or agreed human handoff
  • Send a concise conversation summary to an authorised destination
  • Test uncertain requests and document how to update or pause the service
Define “done” together

Work you can inspect.

We agree a set of an agreed set of test conversations, including common questions, missing information, unsupported requests, a request for a human and a failed handoff.

Acceptance checks cover the approved greeting, factual answers, correct intake fields, refusal to guess outside scope and delivery to the right handoff destination. For voice, we also test the agreed call routing and what happens if the service becomes unavailable.

We document limitations and unresolved issues so you can decide whether it is ready.

Scope, price, and what happens next

No guesswork
at the handover.

Scope, fee, payment schedule, delivery window and support terms are agreed before work starts.

REVIEW & APPROVAL

Agree the work before it starts.

Your written scope defines deliverables, inputs, approval steps, timing, revisions, and completion checks. Any new requirement is separately agreed. Business outcomes such as revenue, rankings, or fixed time savings are not guaranteed.

COSTS & CONTINUITY

Know what it takes to run.

Tools, usage, source updates, hosting, and monitoring are included only where stated. The proposal identifies ongoing costs and the support window. Additional work needs agreement; monthly capacity is bounded.

The handover documents the agreed access, responsibilities, controls, and known limitations. Ownership and licensing are specified in the written agreement.

Before you decide

A few useful
answers.

Will customers know it's AI?

Yes. The greeting clearly identifies it as an automated assistant. We agree wording appropriate to the selected channel.

Can it answer everything about my business?

No. It handles the approved topics and hands over when it lacks a reliable answer. A smaller, accurate scope is easier to manage.

Can a customer ask for a person?

Yes. We include an explicit human-request route. Immediate human availability depends on your staffing and business hours.

Does it work outside business hours?

It can use an out-of-hours flow on the agreed channel, subject to platform availability. It does not make your human team continuously available.

Will you record every phone call?

Recording is a separate configuration decision. We agree whether it is needed and your disclosure, consent, access and retention requirements before enabling it.

Can I start with chat and add phone later?

Yes. The first scope covers one channel. A second channel needs its own content, routing, testing and commercial agreement.
