The answer may already be in a handbook or process guide. Finding the right version can take longer than asking a colleague again.
Our internal assistant searches approved company knowledge and answers with supporting references. When it cannot find a reliable answer, it says so and points people to the right owner.
A tangible result
Here’s what the work includes.
Review and list the approved knowledge collection
Set up one agreed internal question-and-answer interface
Ground answers in the permitted documents with source references
Flag missing, conflicting or uncertain information
Apply the agreed access boundaries
Provide a content-update method and owner guide
Evaluate agreed test questions and document limitations
Define “done” together
Work you can inspect.
Together, we prepare an agreed set of test questions covering routine answers, conflicting sources, outdated information, missing answers and attempted access outside the agreed collection.
We check whether answers are supported by the cited material, whether references open for permitted users and whether the assistant avoids making up a policy when the documents are incomplete. We also verify the agreed sign-in and content-update process.
You receive results and known limitations. Testing does not make every future answer correct. Important decisions still need an authorised person to check the source.
Scope, price, and what happens next
No guesswork at the handover.
Scope, fee, payment schedule, delivery window and support terms are agreed before work starts.
REVIEW & APPROVAL
Agree the work before it starts.
Your written scope defines deliverables, inputs, approval steps, timing, revisions, and completion checks. Any new requirement is separately agreed. Business outcomes such as revenue, rankings, or fixed time savings are not guaranteed.
COSTS & CONTINUITY
Know what it takes to run.
Tools, usage, source updates, hosting, and monitoring are included only where stated. The proposal identifies ongoing costs and the support window. Additional work needs agreement; monthly capacity is bounded.
The handover documents the agreed access, responsibilities, controls, and known limitations. Ownership and licensing are specified in the written agreement.
Before you decide
A few useful answers.
Can it read everything in our company drive?
No. It uses the specific collection you approve. We avoid granting broader access than the agreed task requires.
Will it show where an answer came from?
Source references are part of the agreed design and testing. If a source cannot support an answer, the assistant should say it lacks enough information.
What happens when two documents disagree?
It flags the conflict and directs the user to the nominated owner. Your business decides which version governs.
Can different teams see different answers?
That requires permission-aware retrieval. The standard starting collection has one access level; more complex permissions are separately scoped and tested.
Will our data train someone else's public model?
We review the proposed provider's terms and configuration with you before selecting it. We do not make a blanket promise independent of those choices.
Can it replace professional advice or policy owners?
No. It helps people locate and understand approved information. Authorised people remain responsible for policy interpretation and consequential decisions.
